Practice Manager/Practice Director

To be part of a team to complete the day to day running of the Practice by carrying out reception and admin task as described

job responsibilities:


• To work in a manner conforming with written Protocols
• To have a good understanding of the practice procedures
• Scanning of patient related documentation and attaching scanned documents to patient’s healthcare records
• Assisting clinicians with the administrative side of QOF
• Review and deal with SystmOne Task appropriately.
• Reviewing High Risk Patient spreadsheets as requested by the Practice Manager
• Creating and managing clinics for doctors.
• Registration of new patients
• Input of data into patients records
• Photocopying/faxing


• To ensure that at the start of the day waiting room and clinicians rooms and kitchen are tidy and presentable, and maintained throughout the day
• Face to Face meeting and greeting of patients
• Providing a good standard of patient service in person and over the phone.
• Triage Patients appropriately
• Process appointment requests for today/future appointments from patients by telephone and in person.
• Monitoring repeat prescriptions to ensure they are received by the HCA and collected by patients in the given the given time frame.
• To open post and to deliver any private and confidential post to the practice manager.
• To replenish clinicians rooms on a daily basis
• To monitor stock quantity on a monthly basis
• To monitor the expiration of any stock
• To take log’s of essential appliances in accordance with the schedule
• To clear all rooms at the end of surgery, collect any patient referrals/blood test forms and file correctly.

Other Tasks

• Ensure building security – have thorough knowledge of doors/windows/alarm
• Any other tasks allocated by managers

Person specification

• GCSE English or equivalent – essential
• Experience with/or qualification in IT- desirable
• Working in a customer-facing role
• Previous experience of working with others as a team
• Filing, photocopying and using a fax machine
• Experience with System One would be an advantage but not essential because training will be provided.
• Able to deal with telephone enquiries.
• To be able to understand and navigate through basic computer skills
• Good organisation skills
• Good communication skills
• To be able to work independently and in a team
• To be able to use initiative to ensure timely completion of tasks and help the practice meet deadlines.
• Ability to work under pressure
• Ability to multitask
